How to manage AI agents safely

By Voidex · Last updated 29 October 2026

The short answer

To manage AI agents safely, give each agent only the permissions it needs, require a person’s approval before it sends, changes or deletes anything, check the result in the real app after each action, and keep a record of what happened. These four habits let you use AI agents at scale without losing control.

What is an AI agent?

An AI agent is an AI that can do things, not just talk. It can use tools: look up a customer, create an invoice, send a message. That makes agents useful, and it is also why they need to be managed carefully.

1. Manage AI agents’ permissions

Start with the smallest set of actions that does the job. An agent that answers customer questions does not need permission to delete records. Group actions by risk so you can see what each agent can really do:

  • Looks only: reading data, searching, summarising.
  • Makes a change: creating a record, updating a status.
  • Important change: sending money, deleting data, emailing many people.

2. Require approvals for anything that matters

Let agents look things up on their own, but hold every change for a person’s OK. For high-impact actions, require two people.

Make the approval meaningful: show exactly what will be sent, in plain words, and tie the approval to that exact data so nothing can change afterwards. Let approvals expire if nobody decides.

3. Check results, don’t just trust reports

AI agents and apps sometimes report success when something went wrong: a record was not saved, or was saved twice. After an action, read the app again to confirm the change really happened. If it did not, mark it for review instead of calling it done.

4. Keep a record you can trust

For every action, record what was requested, who approved it, what was sent and what actually happened. Make the record append-only, so it cannot be quietly edited. This is what you show your team, customers or auditors when someone asks “what did the AI do?”

How to manage AI agents at scale

  • Use clear policies (deny by default, then allow specific actions) instead of setting each agent up by hand.
  • Separate test and real environments, and try agents on safe test systems first.
  • Make sure an agent can never do more than the person using it.
  • Review the exception queue (failed, blocked or unverified actions) every day.
  • Run repeatable tests before changing an agent’s setup.

Managing AI agents in the workplace

Tell your team what agents can and cannot do, who approves what, and where to see activity. Plain-language screens help: people approve better when they understand exactly what they are approving.

Common mistakes when managing AI agents

  • Giving an agent broad access “to save time”, then forgetting to narrow it later.
  • Approving actions without reading what will actually happen, until approvals become a habit instead of a check.
  • Treating an agent’s own summary as proof that the work was done.
  • Having no single place to see what every agent did and who approved it.

How Voidex Control helps you manage AI agents

Voidex Control was built for this. Every tool an agent can use has a risk level, and policies decide what is allowed. Changes wait in “Needs your OK”, approvals are bound to the exact data, and high-impact actions can need two people.

After each action, Voidex independently checks the app and writes a tamper-evident receipt. Bench lets you test your setup against safe sandbox systems with injected faults. Voidex Control is free during early access.

Frequently asked questions

What permissions should an AI agent have?

Only the actions it needs for its job. Reading is usually fine; anything that changes data should need approval.

Can an AI agent do more than the person using it?

It should not. In Voidex Control, an agent always acts with the permissions of the person it works for.

How do I know what my AI agents did?

Keep an append-only activity log and receipts that show what was sent, who approved it and whether the result was confirmed in the app.

How do I test AI agents safely?

Use test environments or sandbox systems first, ideally with deliberately injected errors, before connecting real apps.
